The bill that quietly cost you $4,000
Six weeks of double-billing from a freight broker. A SaaS subscription that quietly tripled at renewal. A unit-price typo that shipped $1,200 as $12,000. None of these get caught by your accounting workflow until after the check has cleared.
The pattern is the same: a single bill that's wildly out of line with that vendor's history. Trivial to spot if you happen to be looking. Easy to miss if you're approving 40 bills on a Friday afternoon.
This app watches every vendor bill that lands in your QuickBooks. For each vendor it tracks the trailing 90-day median. When a new bill comes in at 3x or more than that vendor's normal, you get one short alert in Slack with a link back to the bill.
What it catches
- Duplicate bills — same invoice entered twice, or a legitimate invoice that snuck through both your AP queue and an auto-import.
- Unit-price typos — $1,200 keyed as $12,000, or a rate sheet imported with the wrong currency.
- Stealth subscription renewals — the $99/mo SaaS that jumps to $499/mo at renewal without an email warning.
- Currency-conversion mistakes — EUR amounts imported as USD values.
- Vendor fraud and billing scams — fake invoice from a spoofed vendor name with a real-looking amount.
- Real legitimate price changes — you still want to know about it.
One Slack message per anomaly. With context: vendor name, current amount, normal amount, the multiplier, and a deep link to the bill in QuickBooks.
Who this is for
This app is for you if:
- You run a small or mid-sized business and approve vendor bills in QuickBooks Online weekly.
- Your AP volume is high enough that "review every bill in detail" is no longer a thing you actually do.
- You've ever caught (or missed and later caught) a duplicate bill, a typo, or a stealth renewal — and want a quiet daily safety net.
It's not for you if:
- You're looking for full bill-pay automation. We're a watchdog, not an approver.
- You don't use QuickBooks Online. We don't support Desktop or Xero today.
